Assignment Background
The Internal Displacement Monitoring Centre (IDMC) is the world’s leading source of data and analysis on internal displacement. IDMC monitors situations of displacement worldwide and provides verified and consolidated estimates of the number of people internally displaced or at risk of becoming displaced by conflict, violence, disasters and development projects. We complement this global data with interdisciplinary research into drivers, patterns and impacts of internal displacement. Using this evidence, we provide tailor-made advice and support to inform global, regional and national policy-making.
The IDMC Internal Displacement Conference 2023 is the organisation’s fourth interdisciplinary conference on internal displacement. It will mark the 25th anniversary of both IDMC and the Guiding Principles on Internal Displacement and will examine how 25 years of progress can inform solutions to internal displacement today.
The conference will take place 2 October 2023 at the Hôtel Royal in Geneva, Switzerland from 15:00-18:00 with a networking cocktail at the hotel following the event. There will be two sessions in a large meeting room (21m x13.3m; 3.2m high). The room has some natural light from the ceiling as well as artificial light, and the stage will be lit by the audio-visual video recording team. Each session will have a combination of individual speakers and panel-discussions as well as a question-and-answer session with the audience.
IDMC seeks a competent photographer to capture quality images of the event for use primarily online and potentially in printed materials after the conclusion of the event. The photographer will provide all necessary equipment and personnel required to deliver the services, including a hard drive to deliver the final images. Bidders may refer to the recording of the 2022 conference for reference, although the venue and scope of the event are different.
Objectives and Scope of Work
- Photography
- Participants: Multiple images of each person on stage at the event, including images of the person speaking (alone in some shots and with other panellists in others) and of the panel as a whole
- Audience participation: Images of the audience, especially of those asking questions
- Networking: Images of conference participants socialising before and after the session
- Shot list: IDMC will provide a shot list for additional priority images, including VIP attendees, atmosphere and other images
- Editing
- Selection: The photographer will select the best 10 - 15 images of each on-stage participant and the best images from the audience, networking and shot list. Ideally, the selected images will capture all items on the shot list and a variety of participants from the audience and networking categories to capture the essence of the event and to share with select participants, especially VIPs. IDMC does not need every image taken at the event.
- Post-production: The photographer will make any necessary colour correction or other edits necessary to clean up the images and make them ready for use. All images should be delivered in two formats: - Web-ready .jpg files with a target file size of no more than 500kb using 150dpi and a width of 1000px. We will rely on the photographer to adapt these parameters as they see best for specific images to retain a balance of size and quality for most internet uses. - Original RAW images.
Expected Deliverables
- Image files–Photographer will provide all images as described above on an external hard drive (supplied by the photographer) by the following day (3 October). Photographer will provide 2-3 images of the panellists, including at least one of the IDMC director, immediately after the session and before the networking cocktail. IDMC will provide post-production editing for these images to use on social media.
- Organisation– Photographer will follow IDMC guidelines for file naming and metadata. IDMC will provide these guidelines in advance of the event.
Required skills, competencies & experience
- Demonstrated event photography experience, ideally in similar venues with similar events and event requirements
